Customer Case Studies:

  • Financial Services Company: Protect Executive Communications, Corporate Governance
  • Investment Management Firm: SEC and NASD Regulatory Compliance
  • Benefits Management Company: HIPAA Regulatory Compliance
  • Energy Company: Regulatory Compliance
  • Diversified Technology Company: Export Controls

Financial Services Company
A diversified banking, insurance, investments, mortgage and consumer finance company.

Challenge:
Secure executive communication regarding confidential merger & acquisition discussions (including discussions with outside accounting and legal firms); comply with consumer financial information guidelines associated with Gramm-Leach Bliley; retention of certain communications to comply with Sarbanes Oxley and SEC regulations; and to block communication between research analysts and investment bankers for NASD compliance.

This organization also wanted to ensure consistent enforcement of email use policies including automatic enforcement of email retention and expiration policies.

Features Utilized:

  • Retention / expiration
  • Confidentiality based on group membership
  • Group-based policies applied at the email gateway
  • Ethical walls to block messages between specified groups

Result:
Policies that control the distribution of executive communication have been put into effect so all merger & acquisition, site planning, pricing and financial information is secure at all times. Sensitive business and financial information sent back and forth from the CEO and CFO to other members of the executive management team is protected, and cannot be forwarded, copied or printed.

Communication between research analysts and investment bankers is restricted in compliance with federal regulations. Policies are applied to email automatically so end users are not required to decide what policy level is appropriate.

Investment Management Firm
A private investment management firm has offices throughout North America and Europe. They invest in leading technology companies and venture capital funds.

Challenge:
Due to the nature of its business, the firm needed to prevent email messages from being forwarded externally or to unintended recipients within the organization and to secure confidential email and attachments to partners and investors outside the firm. At the same time, the company needed to retain useful business information, for compliance with federal regulations and to effectively dispose of emails that no longer had business value.

Approximately 20 percent of email users within the company also use Blackberry devices for wireless communication.

Features Utilized:

  • Ethical walls to block messages between specified groups
  • Persistent information protection
  • Retention / expiration
  • Support for Blackberry messaging

Result:
Company now complies with federal regulations mandating retention of stock trade and monetary transaction email information. Senior executives send all internal messages and a large fraction of external messages with confidentiality policies to prevent unintended forwarding to third parties.

Benefits Management Company
This company manages healthcare benefits for some the nation's leading organizations offering services such as online benefit administration tools, consulting, cost containment, and compliance for clients, enrollees and healthcare providers.

Challenge:
Due the personal nature of employee benefit information, ensuring data privacy and preventing unintended recipients from receiving personally identifiable data is critical. Because confidential benefit information is sent among clients, enrollees and healthcare providers, distribution control played an equally important role in setting requirements for the project. In addition, extending this confidentiality and control post-email delivery was a key requirement.

Features Utilized:

  • Dynamic, rules-based policy application
  • Persistent policy enforcement inside and outside the company
  • Persistent information protection
  • Retention / expiration

Result:
The employees of participating companies can check claims status, verify plan distributions, review eligibility requirements and more, in a secure manner.
Healthcare providers provide confidential patient information securely, and have reduced the cost and time involved.

Cost savings:

Administrators and healthcare personnel are able to be more productive because of the time saved in handling claim disputes via email instead of by phone. Client companies make real-time enrollment updates and changes without compromising personally identifiable data. Emails and attachments remain secure and private post-delivery so confidential data is not vulnerable to unauthorized use at anytime.

Energy Company
This company supplies electricity to large commercial and industrial customers and is one of the nation’s largest wholesale power sellers.

Challenge:
This company buys, supplies, and manages energy uses and costs, requiring them to safeguard email communication specific to energy pricing, market fluctuations, generation plants, supply & demand, and facility security, within their organization and with external parties (audit and legal firms, partners, local energy distributors, etc). Federal regulations require certain of these communications be archived for specific time periods.

Features Utilized:

  • Confidentiality based on group membership
  • Retention / expiration
  • Intelligent archiving
  • Automatic application of policy based on business rules

Diversified Technology Company: Export Controls
This global company is focused on the telecommunications, flat panel display, environmental, life sciences and semiconductor industries. Some of its technologies are regulated by the U.S. government's ITAR statute that restricts what information may be seen by foreign nationals, including contractors. This company's employees frequently travel abroad and laptops with sensitive information have been stolen.

Features Utilized:

  • Usage rights dynamically applied to documents
  • Offline use for designated periods of time with expiration if the laptop has not revalidated user credentials
  • Audit of information usage for regulatory compliance validation
