Enterprises store and manage terabytes of electronic files across networked file servers, using only the operating system’s security to control which users are authorized to access regulated and confidential files. These controls only protect the data while it is stored within the directories and folders however, significantly putting the security of this data at risk when in use or in transit. For example, simply opening a Microsoft Excel or Adobe PDF file from a server removes all operating system access controls to the data while in use.
“Many of today’s data security solutions are akin to border crossings. They block a specific user action at the network perimeter adding a layer of security in the process. The problem occurs when the data resides somewhere between these security check points,” said Jon Oltsik, senior information security analyst at Enterprise Strategy Group. “We believe that a better way to address this problem is by integrating security into the confidential data files themselves. Electronic documents should be extended so that they can carry persistent security policies that define and enforce document access, usage, confidentiality and storage rules regardless of device type or physical location.”
Liquid Machines Fileshare Gateway extends the networked file server approach to managing and controlling access by placing the protection on the data, automatically encrypting files such as documents, spreadsheets, presentations, and diagrams as they are added to, or modified in, a folder or file share. This ensures protection not only when documents are stored, but during usage and distribution (e.g. open, edit, save, save as, copy/paste, drag and drop, print, etc.).

Using Liquid Machines Fileshare Gateway, customers can apply information access and usage policies to network directories and folders. Policies control which users have access to files based on directory or folder location, as well as the actions those users can take on files including open, read, write, save, save as, copy/paste, print and network copy. As files are added to, or modified in, a protected file share, policies are automatically applied. Files are automatically protected using industry-standard encryption technology. The Liquid Machines controls and protection persist with the file regardless of how it is being stored, manipulated, or distributed. Robust auditing and reporting gives business owners complete visibility into how regulated and confidential data is being accessed and used in support of information protection and compliance requirements.
